Master Data Management Modernization for Unified Patient, Provider, and Product Records
About the Client
Goals
Consolidate fragmented patient, provider, and product records scattered across electronic health record, CRM, billing, and legacy systems into one governed golden record
Migrate legacy on premise master data infrastructure to a scalable, cloud-based platform without disrupting live clinical operations
Establish a HIPAA aligned governance framework for protected health information across every downstream system
Eliminate duplicate and conflicting patient records that were creating clinical safety risks and billing errors
Build a 360-degree view of patients, providers, and affiliated facilities to support care coordination and referral management
Prepare a master data architecture that could support AI ready analytics and predictive clinical decision models
Deliver a measurable reduction in the manual data reconciliation effort carried by clinical and administrative staff
Challenges
The healthcare network's most critical records, including patient identities, provider credentials, and clinical product data, were scattered across a legacy on premise master data environment, disconnected electronic health record modules, a CRM used for patient outreach, and a separate revenue cycle platform. The same patient routinely existed as multiple conflicting records across facilities, each with a different spelling, address, insurance identifier, or care history, forcing clinicians and administrative staff to manually reconcile information before they could safely act on it.
The legacy MDM platform itself had accumulated significant technical debt, was costly to maintain, and could not scale to support the network's growing data volume or its ambition to feed AI and predictive analytics initiatives. Because the environment touched active patient care and billing workflows, any migration had to preserve strict HIPAA compliant handling of protected health information and could not tolerate data loss or extended downtime. Coordinating a full platform migration and governance overhaul across multiple facilities, each with its own local data entry habits and system configurations, added further complexity to an already sensitive engagement.
Solutions
Strategic Data Consulting: Aligned the master data management vision with the network's clinical and operational goals, defined critical data domains spanning patients, providers, and products, and built a phased governance framework and roadmap before any pipeline was built.
Cloud and Data Engineering: Engineered a scalable master data platform on cloud infrastructure to replace the legacy on premise environment, establishing the backbone for a dependable, HIPAA aligned master data management solution.
Complex Data Integration: Built ETL and ELT pipelines to unify data from the electronic health record system, CRM, revenue cycle platform, and affiliated provider feeds into a single clean data model.
Golden Record Engineering: Applied matching algorithms, survivorship rules, and automated cleansing and enrichment to resolve duplicate and conflicting patient and provider records into one authoritative master record.
Informatica MDM Implementation: Delivered a certified implementation across the Informatica Intelligent Data Management Cloud, configuring Patient 360, Provider 360, and Product 360 views tailored to the network's clinical operations.
HIPAA Aligned Governance: Embedded protected health information handling requirements, access controls, and stewardship roles directly into the governance framework from day one.
AI and Analytics Readiness: Architected the mastered patient, provider, and product data to feed business intelligence dashboards and next generation predictive clinical models, rather than reporting alone.
Legacy to Cloud Migration: Executed a rapid, accelerated migration from the legacy MDM platform to the cloud based Informatica MDM SaaS environment with no disruption to live clinical or billing operations.
MDM Managed Services: Established ongoing stewardship, data quality monitoring, and platform optimization to keep the golden record accurate as new facilities and data sources are onboarded.
Impacts
Thirteen-Week Migration: Completed the legacy to cloud master data management migration in as little as 13 weeks, with zero data loss across patient, provider, and product records.
Duplicate Records Cut by Over 90 Percent: Reduced duplicate and conflicting patient records across facilities by more than 90 percent, directly lowering clinical safety and billing risk.
Roughly Six Hours Saved Weekly Per Staff Member: Cut the time clinical and administrative staff spent searching for and validating patient, provider, and product information by close to six hours per person each week.
Faster Care Coordination: Improved referral and care coordination turnaround by roughly 40 percent through a unified 360-degree view of patients and affiliated providers.
Zero Compliance Incidents: Sustained a HIPAA aligned governance framework with 0 protected health information compliance incidents reported across the engagement.
Unified View Across Facilities: Established a single governed golden record spanning every hospital, outpatient clinic, and affiliated care center in the network.
AI Ready Data Foundation: Delivered a mastered data foundation now feeding business intelligence dashboards and early-stage predictive analytics initiatives across the network.
